Booking terms and conditions

Version 1.0 · effective from 4 November 2026 · Transylvania on Horseback

These terms are the contract between you and the organiser. You accept them by ticking the dedicated box when you pay the deposit for a booking. We e-mail you a copy right after payment.

1. The parties

The organiser: VISCRI FARM SRL, Viscri no. 81, Bunești, Brașov County, Romania. Trade register J8/885/2017, tax code 37409110, VAT number RO37409110, represented by Ursula Radu-Fernolend, director, operating the brand Transylvania on Horseback. E-mail: contact@transylvaniaonhorseback.ro · Phone: +40 724 000 351.

The client: the person who makes the booking and pays the deposit, on their own behalf and on behalf of all riders booked. The client confirms they have the riders’ agreement and has passed these terms on to them.

2. The services

  1. One-day ride: about 6 hours in the saddle with a lunch break, horse, guide, helmet and safety vest; lunch included.
  2. Fixed-date group departure and custom ride of 2–4 days: horse, certified guide, helmet and safety vest, guesthouse accommodation, all meals in the programme, and luggage transfer between guesthouses, as set out in the offer.
  3. The exact programme (routes, villages, accommodation, meals) is the one in your personalised offer or on the departure page. It forms part of this contract.
  4. Not included unless the offer says so: travel to Viscri, airport transfers, drinks, travel insurance and personal expenses.

3. How booking works

  1. You send the booking request on our website, with details of your group, the ride and each rider’s experience.
  2. Within 48 hours we send an offer (programme, dates, price), or explain why the ride does not suit the level declared.
  3. Nothing is paid before we have checked your request. We then send the offer with a payment link.
  4. You accept the offer by ticking your acceptance of these terms and paying online: between 50% and 100% of the price for multi-day rides, in full for one-day rides.
  5. We confirm the ride by e-mail within 24 hours of payment, with a copy of these terms. The contract is concluded on this confirmation. If we cannot confirm the ride (for example, the dates were taken in the meantime), you receive a full refund.

4. Minimum group size

  1. One-day rides run from 2 riders.
  2. Group departures and multi-day rides run from 3 riders; maximum 6 riders per group.
  3. If a group departure has not reached the minimum 45 days before it starts, we cancel it. You receive a full refund or move to another date at no cost.

5. Price and payment

  1. Prices are in euros, per person, including VAT.
  2. One-day rides are paid in full when booking.
  3. Multi-day rides are booked at least 30 days before the first riding day. Less than 30 days before, we only accept bookings for one-day rides.
  4. For multi-day rides, the first payment is between 50% and 100% of the total price, as you choose, and the balance is due at least 30 days before the first riding day. We send a payment link 7 days before it is due.
  5. Payment is made online by card through Stripe. We never see or store your card details.
  6. For a part payment we issue an advance invoice. On the final payment we issue the final invoice, which reverses the advance invoices. Invoices are sent by e-mail.
  7. If the balance is not paid on time, the booking may be cancelled under clause 6.1, after a 3-day payment reminder.
  8. The agreed price does not change after booking.

6. Cancellation by the client

“Deposit” means 50% of the total price, whatever amount was paid when booking.

  1. Cancellation 30 days or more before the first riding day: full refund of the amounts paid minus 3%, which covers the card processing fees.
  2. Cancellation 10–29 days before: the deposit (50% of the price) is retained; any further amount paid is refunded.
  3. Cancellation less than 10 days before, or no-show: the full price is retained.
  4. Cancellations must be made in writing by e-mail; the date we receive it applies.
  5. You may transfer your place to another person who meets the same riding requirements, with at least 7 days’ notice. The new rider fills in the experience questionnaire.
  6. The 14-day right of withdrawal does not apply: leisure services provided on a specific date are exempt (EU Directive 2011/83/EU, art. 16(l)).

7. Riding level and the client’s declarations

  1. Our rides are only for riders who walk, trot and gallop in open country in a relaxed, balanced way and are fit enough for up to 6 hours a day in the saddle.
  2. For every rider, the client declares their real riding experience, age, weight and any health issue relevant to safety, and confirms that this information is true.
  3. Maximum weight: 100 kg. Minimum age: 8, only with solid experience and accompanied by an adult. Minors ride with the written consent of a parent or guardian.
  4. The guide assesses every rider before setting off, including a short test at walk, trot and gallop.
  5. If a rider cannot ride safely, for themselves or for the others, because their experience, fitness or weight was misrepresented, we may refuse their participation and the full amount paid for that rider is forfeited. We may, without obligation, offer an alternative (a shorter ride, the horse-drawn cart), without refund.
  6. If a rider loses confidence or tires on the trail, the guide may adapt the pace or the route. Unused services are not refunded.

8. Safety and participants’ obligations

Participants agree:

  1. To wear a helmet at all times when riding (we provide one) and suitable footwear (riding boots, or short boots with a small heel and chaps). A safety vest is recommended.
  2. To follow the guide’s instructions on pace, route, spacing and stopping. The guide may stop, shorten or change the ride at any time for the safety of people and horses.
  3. Not to ride under the influence of alcohol or any substance affecting alertness.
  4. To treat the horses with care and not to damage accommodation or equipment.
  5. To hold travel insurance covering horse riding and accidents. This is strongly recommended.

9. The risks of riding

  1. Horse riding carries inherent risks that we cannot entirely eliminate, including: falling or being thrown; unexpected movements of horses; bites, kicks or being stepped on; uneven ground, holes, branches; allergic reactions to animals, feed or plants; weather conditions.
  2. Our trails cross rural areas and forests. No medical staff accompany the rides, and emergency services may take time to arrive.
  3. Participants ride at their own risk as regards these inherent risks. We are liable under the law for damage caused by our own fault or that of our staff. Nothing in these terms limits our liability for death or personal injury caused by negligence, or any other right that cannot be limited by law.

10. Cancellation or changes by the organiser

  1. We may cancel or postpone a ride for safety reasons: dangerous weather (storm, strong wind, slippery ground), the condition of the horses, unforeseen events on the trail.
  2. You then choose between another date at no cost and a full refund of amounts paid for services not provided, within 30 days.
  3. Light rain is not a reason to cancel. The guide decides on the day and informs you as early as possible.
  4. We may replace accommodation or a meal with one of equivalent standard, and will tell you.

11. Force majeure

Neither party is liable for failure to perform due to an external, unforeseeable and unavoidable event (natural disasters, epidemics, restrictions imposed by authorities). The affected party informs the other within 10 days. The parties agree another date without penalty, or a refund of services not provided.

12. Photos

During the rides our guides take photos and videos that we send to participants. We publish them on our website or social media only with the consent of the people shown, given separately (see the Privacy policy).

13. Personal data

We process your data according to our Privacy policy, which forms part of these terms. In short: we use your data for the booking and for safety on the trail, share it only with the partners providing the services (guesthouses, guides, payment provider), and never sell it.

14. Complaints and disputes

  1. Please send complaints to contact@transylvaniaonhorseback.ro. We reply within 15 days.
  2. This contract is governed by Romanian law. The parties first try to settle any dispute amicably.
  3. Consumers can use alternative dispute resolution: ANPC – SAL (https://anpc.ro/ce-este-sal/) or the EU ODR platform (https://ec.europa.eu/consumers/odr). This does not affect the mandatory consumer protections of your country of residence.

15. Acceptance

By ticking “I have read and accept the Booking terms and conditions and confirm that the information on each rider’s experience is true” and paying the deposit, the client confirms they have read, understood and fully accept these terms, including the risks in clause 9 and the rules in clause 7.

The date, time, IP address and version of the terms accepted are kept as proof of acceptance.
